Review Our Approval and Content Policies
Before an email is sent, it is automatically reviewed for abuse, suspicious content, or spam-triggering language. This helps protect both Benchmark Email’s sending reputation and your sender reputation while improving deliverability.
If your campaign was Not Approved or placed Under Review, it may be related to one of the following policy checks.
Prohibited Industries
Certain industries have historically experienced high bounce and unsubscribe rates and abuse complaints. These issues can harm deliverability for all senders on the platform. To protect our sending reputation, Benchmark Email maintains a list of prohibited industries.
The following industries are not allowed in Benchmark Email:
- Mortgage services
- Loan services
- Credit card services
- Illegal goods or services
- Escort services
- Gambling services, products, or gambling education
- Pornographic or explicit adult content
- Adult novelty items or related references
- Get-rich-quick or work-from-home schemes
- Sending commercial email without proper permission
- List brokers or list rental services
Industries That May Require Additional Review
Some industries are allowed but may require additional verification before approval.
These may include:
- Pharmaceutical products
- Donation solicitations
- Affiliate marketing
- Credit repair or debt relief services
- Real estate prospecting or listing services
- Nutritional, herbal, or vitamin supplements
- Diet programs
- Dating services
- Multi-level marketing (MLM)
- Online trading, day trading tips, or stock market-related content
- Financial institutions or banking services
- Blockchain or cryptocurrency services (not allowed in India)
Even if an industry is not listed above, Benchmark Email may deny campaigns at its discretion.
Suspicious Keywords
Emails that reference well-known banks, financial institutions, passwords, or login credentials may be flagged during review.
These elements are commonly used in phishing attempts, so many internet service providers (ISPs) treat them as suspicious.
Including these references does not automatically mean your email is spam, but it may require additional review.
Best Practice
Unless strictly necessary, avoid mentioning bank names, login credentials, or password-related language.
Emails With No Text
Emails that contain only images and no readable text are often filtered as spam, therefore could be rejected during the email review process. This can happen when an email is designed in a graphics program like Photoshop and exported as HTML. In these cases, the entire email becomes a single image, and the text within it cannot be read by spam filters.
Some email clients allow users to block images. If your email only contains images, the recipient may see a blank message.
Best Practice
- Maintain a 60/40 text-to-image ratio
- Avoid image-only emails
- Use Benchmark Email’s drag-and-drop editor, which automatically creates both HTML and plain-text versions of your email
High Spam Scores
If previous emails from your account had a high abuse rate, future emails might be automatically rejected if they contain similar content. Spam filters examine messages and assign scores based on patterns often linked to spam emails.
Examples include:
- Excessive use of ALL CAPS, especially in subject lines
- Unusual punctuation such as “!!!” or “$$$”
- Replacing letters with symbols (for example: “Fr33” or “C@sh”)
- Poor balance between images and text
- Inconsistent HTML and plain-text versions of the email
- Copying HTML content directly from programs like Microsoft Word

- Use natural language in subject lines and content
- Avoid spam-like phrases or exaggerated claims
- Keep your HTML and plain-text email versions consistent
- Build emails using the Benchmark Email editor whenever possible
Tips for Creating Emails That Get Opened and Clicked
Write clear subject lines
- Avoid misleading or overly promotional language. Keep subject lines short, clear, and relevant.
Use a balanced design
- Include both text and images so your message is readable by both spam filters and recipients.
Send to permission-based contacts
- Only send emails to subscribers who have explicitly opted in to receive your communications.
Provide clear value
- Focus on helpful content, useful updates, or relevant offers instead of overly promotional messaging.
Test your emails
- Preview and test your campaigns before sending to ensure formatting, links, and content display correctly.
